Delivery of the fulltext

The following picture shall help to ease the decision about fulltext delivery or not.


1. Clarification of the legal framework

With capture in the institutional repository the copyright belongs to the author.

The author is responsible for the observance of copyright and exploitation rights of third parties.

To publish your publication in the institutional repository we need your approval. This you give us with delivery of the publication to the institutional repository.

Furthermore you have to make clear if and under which conditions a post print publishing is valid. This changes from publisher to publisher. Legally binding is the author contract but many publishers have a copyright policy. Some publishers allow post print publishing, some do not. In most cases you are not allowed to use the original pdf-file but the final draft. In Sherpa/Romeo you can check if your publication can be delivered to the institutional repository. Please pay attention to deliver the fulltext only in valid format.

Please obtain the authorization of your co-authors. You could do this e.g. with this phrase:

Dear co-authors of the article "..." published in "...", I would like to support the open acccess campaign of the Helmholtz-Centre for Environmental Research - UFZ by providing a version of our article to the institutional re-pository of the UFZ. In order to do so, I need the agreement of all co-authors. Please respond to this e-mail with your agreement and I will publish our article via the institu-tional repository of the UFZ.

2. Technical information

For publishing in the institutional repository a pdf-file is necessary. This file should

  • not be saved with a password or have any other security restrictions
  • contain all used fonts and other parts (like graphic, video or audio files) belonging to the contents

Furthermore we need details about time and journal of the original publication.

3. Other information

For Quality assurance no pre-prints are published in the institutional repository of the UFZ. Please only load up articles that are peer-reviewed.
